The Challenge
Pharmacy inventory is not a generic stock-management problem. Every unit carries a batch number and an expiry date. Every stock-out risks a patient not getting a medicine they need. Every overstock risks write-offs when that batch expires on the shelf. And every branch operates on its own local rhythm of demand, shaped by prescriptions, seasonality, and the habits of the customers who walk through its door.
Before engaging Fospertise, this pharmacy network was running its warehouse-to-branch supply chain the way most multi-branch operators do - through a mix of manual stock counts, phone calls, and spreadsheets that told branch managers what had been ordered, not what was actually on the shelf. The warehouse had no real-time line of sight into branch-level stock levels. Replenishment decisions were reactive: a branch would only flag a shortage once it was already running low, sometimes after a customer had already been turned away.
At the same time, the warehouse itself was absorbing avoidable losses from expired stock - inventory that had been over-ordered or misallocated because there was no reliable way to match replenishment volumes to actual branch-level consumption patterns. The business had two versions of the same underlying problem: not enough visibility, and not enough intelligence sitting on top of that visibility.
Why They Chose Fospertise
The client didn't need a generic stock-management app - those exist off the shelf and don't solve the batch, expiry, and multi-branch synchronisation problems that actually drive cost and risk in pharmaceutical retail. They needed a partner who would start by understanding how medicine actually moves through a warehouse and out to branches, not one who would start by choosing a tech stack.
Fospertise's requirement-analysis-first approach meant the engagement began with time spent alongside warehouse staff and branch pharmacists - understanding how replenishment requests were actually raised, where expiry-driven waste was really coming from, and what "real-time" needed to mean for a network where every branch has a different demand pattern.
The Solution
Fospertise designed and built a centralised inventory management system connecting the warehouse to every branch in real time, with the data model built around batches and expiry dates as first-class objects.
Real-Time Stock Visibility
Real-time stock visibility across the central warehouse and every branch, replacing phone-call-and-spreadsheet reconciliation with a single live source of truth.
Batch & Expiry Tracking
Batch and expiry tracking built into every stock movement, so nothing is dispatched, received, or sold without its batch and expiry data attached.
Automated Alerting
Automated low-stock and expiry alerting, flagging branches approaching a reorder threshold and warehouse stock approaching expiry - before either becomes a problem.
Demand-Aware Replenishment
Demand-aware replenishment recommendations, using each branch's historical consumption pattern to guide how much stock it actually needs.
Scan-Based Workflows
Scan-based receiving and dispatch workflows, reducing manual data entry and the errors that come with it.
Role-Based Dashboards
Role-based dashboards for warehouse staff, branch managers, and operations leadership - each seeing the view relevant to their decisions.
Fospertise remained engaged post-deployment with monitoring and support, reflecting the reality that for a pharmacy network, an inventory system going dark is not a minor IT incident - it's an operational and patient-safety risk.
The Results
50%
Reduction in branch-level stock-out incidents for high-priority medicines
35%
Decrease in expired-stock write-offs at the central warehouse
2 days to 4 hours
Replenishment request-to-fulfilment time
12 hrs/wk
Warehouse staff time saved on manual stock reconciliation
5 branches
Full real-time visibility achieved from a single dashboard
"We used to find out we were low on something when a customer couldn't get what they needed. Now the system tells us before that happens across every branch, not just the ones we happen to call that week. Well done, Fospertise team. Keep it up!"
